Refund Policy

Understanding our refund and cancellation policies for flight training services.

1. General Refund Policy

FlyHigh Aviation School ("we," "our," or "us") is committed to providing high-quality flight training services. This refund policy outlines the circumstances under which refunds may be granted and the process for requesting them.

2. Flight Training Services

2.1 Completed Training Sessions

No refunds will be provided for completed flight training sessions, including:

  • Flight lessons that have been conducted
  • Ground school sessions that have been attended
  • Written exam preparation sessions
  • Checkride preparation flights
  • Discovery flights that have been completed

2.2 Prepaid Training Packages

For prepaid training packages, refunds may be available under the following conditions:

  • Unused Hours: Refund for unused flight hours at the current hourly rate
  • Ground School: Refund for unused ground school sessions
  • Study Materials: No refund for opened or used study materials
  • Administrative Fees: Non-refundable processing and administrative fees

3. Cancellation Policy

3.1 Weather-Related Cancellations

No charges will be applied for weather-related cancellations:

  • Adverse weather conditions
  • Poor visibility
  • Strong winds exceeding aircraft limitations
  • Thunderstorms or severe weather
  • Icing conditions

3.2 Student-Initiated Cancellations

Cancellation charges apply as follows:

  • 24+ Hours Notice: No charge
  • 2-24 Hours Notice: 50% of scheduled lesson cost
  • Less than 2 Hours Notice: Full lesson cost
  • No-Show: Full lesson cost plus $25 administrative fee

3.3 School-Initiated Cancellations

No charges will be applied for school-initiated cancellations:

  • Aircraft maintenance issues
  • Instructor unavailability
  • Safety concerns
  • Administrative issues

4. Medical Certificate Issues

If a student is unable to obtain or maintain a required medical certificate:

  • Training will be suspended until medical clearance is obtained
  • Unused prepaid hours will be held for up to 12 months
  • Refund requests will be evaluated on a case-by-case basis
  • Documentation from medical professionals may be required

5. Program Withdrawal

5.1 Voluntary Withdrawal

Students who voluntarily withdraw from training programs:

  • Must provide written notice of withdrawal
  • Will be charged for all completed training sessions
  • May receive refund for unused prepaid hours
  • Administrative fees are non-refundable

5.2 Involuntary Withdrawal

Students who are dismissed from training programs:

  • Will be charged for all completed training sessions
  • May receive partial refund for unused prepaid hours
  • Refund amount will be determined by management
  • Appeal process available for dismissal decisions

6. Refund Processing

6.1 Refund Request Process

To request a refund:

  • Submit a written refund request to management
  • Include student name, contact information, and reason for refund
  • Provide supporting documentation if applicable
  • Allow 5-10 business days for review
  • Refund decisions will be communicated in writing

6.2 Refund Methods

Refunds will be processed using the original payment method:

  • Credit Card: Refunded to original card within 5-7 business days
  • Check: Mailed within 10-14 business days
  • Cash: Available for pickup during business hours
  • Bank Transfer: Processed within 3-5 business days

6.3 Processing Fees

The following fees may apply to refunds:

  • Credit card processing fees (2-3% of refund amount)
  • Administrative processing fee ($25)
  • Returned check fees ($25)

7. Special Circumstances

7.1 Medical Emergencies

For medical emergencies preventing training completion:

  • Documentation from medical professionals required
  • Full refund may be granted for unused prepaid hours
  • Administrative fees may be waived
  • Training credits may be held for up to 24 months

7.2 Military Deployment

For students called to active military duty:

  • Full refund for unused prepaid hours
  • No administrative fees charged
  • Training credits held indefinitely
  • Copy of deployment orders required

7.3 Death or Permanent Disability

In cases of death or permanent disability:

  • Full refund for unused prepaid hours
  • No administrative fees charged
  • Documentation from medical professionals or death certificate required
  • Refund made to legal representative or estate

8. Non-Refundable Items

The following items are non-refundable:

  • Completed flight training sessions
  • Used or opened study materials
  • Administrative and processing fees
  • FAA written exam fees
  • Checkride fees paid to designated pilot examiners
  • Medical examination fees
  • Background check fees
  • Equipment rental fees for used equipment

9. Dispute Resolution

If you disagree with a refund decision:

  • Submit a written appeal within 30 days of the decision
  • Include additional documentation supporting your case
  • Management will review the appeal within 10 business days
  • Final decision will be communicated in writing
  • External mediation may be available for unresolved disputes
